Position: Information Officer- Digitisation (2 positions)

DEPARTMENT OF LIBRARY SERVICES

CLOSING DATE: 6 December 2024

MINIMUM REQUIREMENTS:
  • Any three-year diploma plus two years of relevant experience in an Academic Library or Archive, with exposure to digitisation processes;

           OR

  • Grade 12 with four years of relevant experience in an Academic Library or Archive, with exposure to digitisation processes;
  • Familiarity with operating basic digitisation equipment and software (e.g., scanners and image editing tools);
  • Understanding of basic metadata creation for digital collections;
  • Knowledge of copyright rules and how they apply to digitisation.
RESPONSIBILITIES:
  • Operating scanning equipment to digitise physical materials as per instructions and procedures;
  • Ensuring the accuracy and quality of digitised materials by following basic image editing and file processing steps;
  • Applying standardised file-naming conventions to digitised files for easy identification and retrieval;
  • Performing routine checks and maintenance on digitisation equipment (e.g. scanners), reporting any issues to supervisors, providing strategic leadership and management of business intelligence measures;
  • Providing basic assistance to faculty, students, and external clients on how to access digitised materials;
  • Maintaining records of digitisation activities, including logs of items processed and equipment usage;

Position: Senior Administrative Officer- Access and Lending

DEPARTMENT OF LIBRARY SERVICES

CLOSING DATE: 5 December 2024  

MINIMUM REQUIREMENTS:
  • B-Degree AND;
  • Four years’ work experience in the circulation section of an academic library, of which two years should be in a supervisory capacity;
  • Sound knowledge of a computerised Circulation module in an academic library;
  • Computer literacy.
RESPONSIBILITIES:
  • Assessing eligibility for library access and assign appropriate registration category to external individuals; 
  • Managing the prescribed textbook list;
  • Ensuring the flow of information between users and UP libraries;
  • Managing the student workers in Access and Lending;
  • Training of newly appointed Access & Lending staff;
  • Managing the staff blacklist and also assist with student blacklist; 
  • Updating the Access and Lending information across all channels (e.g webpage).

Position: Senior Management Assistant

DEPARTMENT OF LIBRARY SERVICES 

CLOSING DATE: 2 December 2024

MINIMUM REQUIREMENTS:
  • A three-year secretarial/office administration diploma or a relevant three-year qualification;
  • A minimum of three years’ secretarial/relevant experience, ideally in the office of a senior manager which includes:
  • Office administration/management;
  • Financial administration and management;
  • Secretarial work (drafting correspondence, diary management, records management/keeping and filing).
  • At least one-year secretarial experience in a senior manager’s office in an academic environment.
RESPONSIBILITIES:
  • Administrative and secretarial support;
  • Relations Management and liaison;
  • Stakeholder and user engagement;
  • Efficient handling of correspondence and related communication;
  • Maintaining an efficient and accurate record keeping and filing system (electronic & paper);
  • Act as secretariat for committees and meetings;
  • Financial administration;
  • Handling all travel arrangements and logistics for business travel;
  • Assist with departmental publications, e.g. Newsletter;
  • Managing ad hoc projects;
  • Understanding of Higher Education landscape.

Position: Employee Relations Advisor

DEPARTMENT OF HUMAN RESOURCES 

CLOSING DATE 30 November 2024

MINIMUM REQUIREMENTS:
  • LLB Degree with a total 3 years’ relevant experience; or
  • 3 years’ Human Resources related degree with 4 years’ relevant experience:
  • Specialist ER or general legal experience;
  • Exposure to a unionised environment; 
  • Exposure to collective bargaining.
RESPONSIBILITIES:
  • Support the Deputy Director: Employee Relations and Wellness in the implementation of the HR strategy and achievement of all Employee Relations targets;
  • Provide specialist advice, guidance, support and representation with regards to Employment Relations and labour law compliance to Director: Human Resources;
  • Provide specialist advise to Line Managers, UP employees, Unions and the HR team in the effective management of the employee relations procedures and processes, disciplinary procedures and grievance procedures; 
  • Advise Line Management, Human Resources Business Partner and staff in resolution of disputes;
  • Advise Line Management and Human Resources Business Partners on initiating of disciplinary and alternative dispute resolution processes;

Position: Cataloguer

DEPARTMENT OF LIBRARY SERVICES

MINIMUM REQUIREMENTS:
  • A four-year library degree e.g. Bachelor of Library and Information Science degree (B.Bibl.) or Bachelor of Information Science (BIS) plus Postgraduate Diploma in Library Information Science/Studies (PG Dip. LIS) or Bachelor of Information Honors (B. Inf (Hons)); which must include a course/module in Cataloguing;
  • Three (3) years of relevant experience in the cataloguing of serials (print and electronic) in an academic environment; Knowledge and experience in the application of international cataloguing and descriptive metadata standards, i.e. RDA, AACR2, DDC, LCSH, MARC21 and Dublin Core; Knowledge and experience in the use of OCLC WorldCat or WorldShare database. 

             OR

  • A three-year library degree (e.g. Bachelor of Information Science (BIS)); 
  • Four (4) years of relevant experience in the cataloguing of serials (print and electronic) in an academic environment; Knowledge and experience in the application of international cataloguing and descriptive metadata standards, i.e. RDA, AACR2, DDC, LCSH, MARC21 & Dublin Core; Knowledge and experience in the use of OCLC WorldCat or WorldShare database. 
RESPONSIBILITIES:
  • Acquisition and subscription management of serials (print and electronic) on an Integrated Library Services Platform (OCLC WorldShare);
  • Original and copy cataloguing of serials in print and electronic formats, as well as other collections, through the application and adherence to international cataloguing and descriptive metadata standards, i.e., RDA, AACR2, MARC21, ISSN, and Dublin Core;
  • Classification and subject analysis;
  • Maintenance of UP serials holdings on OCLC WorldShare, including identifying and correcting errors in serials records;
