Position: Secretary

Minimum Qualifications and Experience:
  • National Diploma in Office Administration Management/Secretarial Diploma or equivalent.
  • Minimum 3- 5 years secretarial and administration experience in a corporate environment.
Key Performance Areas:
  • Act as first point of contact and information source for Advanced Manufacturing
  • Screen all incoming calls of the General Manager and take messages or direct calls appropriately so as to ensure quick turnaround time and attention to urgent matters.
  • Schedule and arrange meetings for the General Manager and the Management Team and coordinate the effective management of documents required for meetings.
  • Ensure the General Manager is appropriately briefed prior and updated on the context of meetings, as well as the input and actions required so that he is in a position to appropriately respond to any matters that may arise.
  • Take minutes of meetings when required, and distribute to relevant stakeholders timeously.
  • Liaise and interact with relevant stakeholders internally and externally, conveying messages accurately, professionally, and courteously, whilst maintaining the required level of confidentiality and protocol to ensure that all parties are appropriately informed.
  • Plan and coordinate local and international travel and accommodation for the General Manager to ensure business obligations attended to are in line with the required standard and protocol.
  • Manage all incoming and outgoing correspondence of the General Manager, to ensure it is disseminated to the relevant stakeholders and appropriate action is taken.

Position: Chief Operational Assistant

Location: Pretoria

Minimum Qualifications and Experience:
  • Grade 12 with Mathematics and Physical science; NQF level 4 in plant operations will be advantageous.
  • Three (3) years’ experience in a 24-hour chemical plant operation will be advantageous.
Key Performance Areas:
  • Operate the plant in line with approved work instructions, guidelines and management directives
  • Assist in updating of work instructions
  • Monitor process trends and SPC data to ensure the production process is within operating parameters and do corrections accordingly.
  • Report all operating defects to the Shift Foreman / Supervisor
  • Generate the operational report and communicate effectively to relevant parties
  • Monitor stock levels to ensure that the inventory is kept up to date and suitable for meeting production target and goals agreed on.
  • Do job observation on work instructions.

Position: QA Document Custodian x2 

Location: Pretoria

Closing date: 22 November 2024

Minimum Qualifications and Experience:
  • Minimum Grade 12.
  • Computer literacy certificate
  • Qualification or training in office administration or records management and archiving.
  • 5 years’ working experience in office administration or document control and archiving.
  • 2 years’ experience in working on an eQMS platform.
  • Knowledge and experience in working on BizzMine shall be advantageous 
Key Performance Areas:
  • Control Master Batch Documents for every Pharmaceutical product produced by NTP by physically and electronically filing the documents
  • Manage requests from Production Managers/Responsible Pharmacists and issue production and Quality Control (QC) batch records according to procedure
  • Reconcile issued production and QC batch records as per pharmaceutical current Good Manufacturing Practice (cGMP) requirements
  • Receive completed change of document status notifications, action electronically as well as physically and distribute accordingly 
  • Provide Senior and Line Managers with monthly document review status reports in order to prevent documents exceeding the 2 yearly review dates

Position: Project Coordinator X3

Location: Pretoria

Minimum Qualifications & Experience:
  • Preferably National Diploma in (Industrial, Mechanical, Electrical, Chemical, Metallurgist Engineering and Project Management) or equivalent.
  • At least 1 to 2 years of experience in project coordination.
Key Performance Areas:
  • Work with the project manager to eliminate scope creep.
  • Use all provided tools to monitor working hours, plans and expenditures.
  • Issue all appropriate legal paperwork (e.g. contracts and terms of agreement).
  • Create and maintain comprehensive project documentation such as plans and reports.
  •  Ensure standards and requirements are met through the coordination of quality assurance audits and/or tests.
  • Chair and facilitate project meetings where appropriate and ensure minutes are distributed to relevant stakeholders.
  • Coordinate all project schedules and ensure that cost and quality are met.
  • Support all activities pertaining to compliance of all Necsa SHEQ-INS requirements for all programs and projects.
  • Support all processes designed to all applicable SHEQ-INS requirements in order to implement relevant and effective systems throughout all project lifecycle.
  • Follow-up on all configuration management processes within the projects/programmes.

Position: Receptionist 

Location: Pretoria

Minimum Qualifications and Experience:
  • Preferably Matric / Grade 12 certificate.
  • A 3-year diploma in Secretarial / administration or equivalent.
  • National Diploma in Office Administration Management or Secretarial Diploma.
  • 1-2 years’ experience as a receptionist.
  • Experience in creating documents and spreadsheets, using office software such as MS Word, Excel, and PowerPoint.
  • Proficiency in appointment scheduling software such as MS Outlook, as well as call forwarding.
  • Excellent written and verbal communication skills; and
  • Exceptional interpersonal skills.
KEY PERFORMANCE AREAS:
  • General Reception duties;
  • Making photocopies and printing of Exco packs;
  • Managing mail distribution;
  • Managing all the printing equipment;
  • Assisting the Strategic Support Governance & Performance Office with administrative duties;
  • Conference room booking;
  • Ordering of consumables/stationery and receiving of orders;
  • Assist with Diary management of the GMD when required to do so;
  • Creating of purchase requisition on the workflow system.
